Terms for Contract for Service

Payment: €2,724.16 per month excluding VAT

Contract term: A two (2) year ‘Contract for Service

Working hours: On average 40 hours per week, flexible and according to Teatru Manoel’s needs. Working hours may include evenings, weekends, and public holidays.

Teatru Manoel is seeking applications from suitable candidates for a dynamic and experienced Production Assistant to join its team on a contract for service. The Production Assistant

will act as a liaison amongst the various individuals involved in a theatre production, including the director, actors, costume designer, and technical department, and ensures that all elements of a production performance run smoothly.

Production Assistant Essential Duties and Responsibilities

Production & Strategy

  • Manage and organize the Theatre’s artistic programme and events.
  • Lead the technical, stage management, stage crew and wardrobe teams.
  • Act as the primary contact between technical staff/workshops and the wider staff or external users.
  • Ensure high standards of support for all performances, especially Teatru Manoel’s own productions.
    • Manage the call for auditions from start to finish.
    • Attend auditions and assist the auditionees and the audition panel
    • Manage rehearsal schedules
    • Maintain availabilities and attendance records for rehearsals
    • Be the point of contact for crew and cast regarding production issues
  • Work with the Artistic Director to deliver a cost-effective programme of productions and events.
  • Production manage the Theatre’s productions and liaise with independent production managers.
  • Deliver productions within agreed budgets, timetables, and standards.
  • Act as the Theatre’s representative on production matters with external bodies.
  • Schedule and manage resources (staffing, equipment, and budgets) to maximize efficiency.

 

Departmental Management

  • Technical & Stage: Oversee the technical department, advise on technical requirements, and ensure efficient get-ins, get-outs, and production weeks.
  • Personnel: Oversee recruitment, management, and training for casual, technical, front-of-house, and wardrobe staff.
  • Wardrobe: Manage the wardrobe team to ensure costume schedules and production requirements are met.
  • Front-of-House: Support the Head of Front-of-House in supervising ushers and ensuring a safe, enjoyable audience experience.

Administrative & General

  • Effective financial management of allocated budgets and monitoring production expenditure.
  • Ensure the Marketing team receives all necessary information for events.
  • Uphold employment policies and procedures
  • Ensure that all information required for the marketing department including artwork and programmes are received
  • Draft production contracts to suppliers, members of the cast, crew, third parties and joint partners
  • Compile and administer procurement forms
  • Administration of production contracts
  • Manage the invoicing procedure
  • Track the sending and payment of invoices

Other Duties

  • Prepare of regularly scheduled reports
  • Develop and maintain a filing system
  • Update and maintain office policies and procedures
  • Maintain contact lists
  • Submit and reconcile expense reports
  • Provide general support to visitors
  • Act as the point of contact for internal and external clients

Any other services as requested by the Production Department, Artistic Director and the CEO.

Required Knowledge, Skills and Abilities

  • A recognised Master’s qualification at MQF Level 7 (subject to a minimum of 60 ECTS/ECVET credits, or equivalent, with regard to programmes commencing as from October 2008) in Musical Theatre or Theatre Studies or Theatrical Performance or Performing Arts a comparable professional qualification, plus one (1) year relevant work experience.

OR

  • A recognised Bachelor’s qualification at MQF Level 6 (subject to a minimum of 180 ECTS/ECVET credits, or equivalent, with regard to programmes commencing as from October 2003) in Musical Theatre or Theatre Studies or Theatrical Performance or Performing Arts or a comparable professional qualification plus three (3) years relevant work experience.
  • Have a thorough understanding of all applicable safety regulations.
  • Efficient and self-motivated with excellent planning skills, with the ability to deal with multiple tasks at once.
  • Ability to act on own initiative but also to work as part of a team and build strong working relationships with different individuals.
  • Ability to work under pressure, with a positive and creative attitude towards problem solving.
  • A clear commitment to and knowledge of the work of Teatru Manoel.
  • Exceptionally organised and methodical, with strong attention to detail.
  • Excellent spoken and written English and Maltese.
